Monthly Meeting Minutes

May 20, 2009

 

 

Meeting called to order: 6:00 P.M.

Board Members present:

      1. Annette McCarty-Abraham
      2. Elaine Ball

        Dave Watkins

        Also in attendance: Cathy Hacker, Northwest Valley Realty, Community Association Manager.

        Residents in attendance: Laura Hodges, Lot 81 dropped off an Architectural request form for repainting her home. The Board approved it.

        Read & Approved Minutes of Prior Meeting – It was moved to dispense with reading, and the motion was seconded and approved. As no addition or corrections were needed, the minutes will be filed as submitted.

        Review & Submit Monthly Financial Statements

        Dave will try to follow-up on the Wells Fargo account.

        Communications Committee:

        The next newsletter will be mailed with the invoices on June1st. Annette received suggestions for the newsletter – parking, vandalism, mail boxes, statistics on home sales, etc. Cathy requested that we include the Standard Operating Procedures in the newsletter and also place on web page. Annette indicated that she would have her information to Eldora within the next couple of days.

        Management report: Cathy indicated that she would attend the next seminar being presented by Ekmark & Ekmark on June 4th.

        Welcome letters: Letters were sent to the following new home owners:

          1. Lot 220 – Heather Liefer
          2. Lot 381 – Calene Greenhalgh & Richard Salow

            Lot 296 – Ron Giles

            Lot 344 – Anthony & Kathleen Mamola

             

            Written Appeals:

            a. Lot 320: Homeowner is still experiencing a weed problem. Cathy will send a letter and request a meeting at the house to resolve the situation.

            b. Lot 318 requested a waiver of the $50 fine on his record. The weed problem has been corrected and the Board move to waive the $25 fine related to that. However, the remaining $25 related to an unlicensed vehicle. The Board did not waive that fine.

            c. Lot 447 requested a waiver of his weed violation. The Board waived it.

            d. Lot 303 requested a waiver of her finance charge. Since she paid it with her second quarter dues and since she has always paid on time the Board approved issuing her a credit against her third quarter dues,

            e. Lots 297 & 49 both requested a waiver on finance charges and since they had clean records the Board approved the waiver.

            f. Lot 426 requested a waiver of her $25 fine for weeds because they weren’t her weeds. Since she has corrected the weed problem which was a result of her neighbor not taking care of his property the Board waived her fine. However, the waiver is contingent on her keeping her property "weed less" regardless of how they got there.

             

            Architectural Requests: Requests were approved for the following homes:

              1. Lot 128 – Bob Skowronski – repainting home.
              2. Lot 381 – Calene Greenhalgh – repainting home

              3. Lot 563 – Michael Springer – play structure not approved due to height restrictions.

 

Board Member Concerns: Of the homes sold this year under Foreclosure, there are 7 which still have balances. Most of the balances are due to violations. The Board approved writing off any balances under $500 (3). They instructed the Management Company to contact the Title Companies regarding the status of our liens on these properties and to pursue the economic feasibility of hiring a collection company to find the original owners.

The Board also instructed the Management Company to continue with the lien process according to current State laws.
